Position Overview:
The Law and Criminal Justice Paralegal Legal Secretary is a vital role within our organization. The successful candidate will provide comprehensive administrative support to attorneys and legal professionals, ensuring the efficient functioning of the legal department.
Responsibilities:
1. Prepare legal documents, such as briefs, appeals, contracts, and agreements, ensuring accuracy, proper formatting, and adherence to legal guidelines.
2. Maintain and update legal files and databases, including case management systems, ensuring all documents are correctly filed and accessible for future retrieval.
3. Organize and schedule meetings, hearings, and depositions, coordinating with internal and external stakeholders to ensure timely and efficient proceedings.
4. Conduct legal research and gather relevant information from various sources, including online databases, libraries, and court records, to support attorneys in case preparation.
5. Draft correspondence, memos, and other communication on behalf of attorneys, ensuring accuracy, proper grammar, and adherence to legal protocols.
6. Assist attorneys in trial preparation, including organizing exhibits, preparing witness lists, and coordinating with court personnel.
7. Maintain confidentiality of sensitive information and documents, adhering to legal and ethical guidelines.
8. Handle incoming calls, emails, and inquiries, providing appropriate responses or directing them to the appropriate person within the legal department.
9. Manage attorney calendars, schedule appointments, and arrange travel arrangements as necessary.
10. Collaborate with other legal professionals and support staff to ensure smooth workflow and effective communication within the legal department.
Required Skills and Qualifications:
1. Bachelor's degree in Paralegal Studies, Legal Studies, or a related field.
2. Proven experience as a legal secretary or paralegal in a law firm or legal department.
3. In-depth knowledge of legal terminology, court procedures, and legal documents.
4. Proficiency in using legal research databases and tools.
5. Excellent written and verbal communication skills, with exceptional attention to detail.
6. Strong organizational and time management abilities, with the capacity to prioritize tasks effectively.
7. Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
8. Demonstrated problem-solving skills and the ability to exercise sound judgment.
